Privacy Policy


This document is the Privacy Policy of Kids Coder Lab Sp. z o.o. It specifies the rules for collecting, processing and using data shared by the users in connection with their use of the services provided by the company.

The administrator of personal data on the website is Kids Coder Lab Sp. z o.o. with the registered seat in Warsaw at ul. Hlonda 10 U9, NIP 9512447068, REGON 368481218.

1. Type of data we collect about you:

  • Data collected in the process of enrolment for a course or other activity (agreement conclusion): parent detail’s (first name, last name, e-mail address, phone number, address) and details of the enrolled child (first name, last name, name of the school the child attends, grade of the child, year of birth and additional information).
  • Data collected automatically: Some data may be collected automatically, whereas such data is not personal data, but e.g. an IP address.
  • Data collected while contacting us: When you contact us by e-mail, phone, newsletter about our news or through the contact form available on the website, you also share your personal data with us, e.g. your first name, last name, e-mail address or other additional information connected with the specific inquiry.
  • Data collected via a CCTV camera at the registered office of Kids Coder Lab Sp. z o.o. in order to ensure children’s safety and protect property.
  • Data in the form of images and sound collected during the course or its continuation online (agreement conclusion/performance), processed under Article 6, Section 1(b) of the General Data Protection Regulation – in order to conduct the course, document the course and the participants’ progress and the possibility of passing it.
  • Data collected during photo or video sessions (“Image”, see also Paragraph 6) – only if a prior consent was given.
  • Data collected during your visit on our website, stored in cookie files used for advertising purposes, processed under Art. 6, section 1(f) of the General Data Protection Regulation, i.e. legitimate interest of the administrator, namely remarketing activities.

2. How do we use data about you:

  • In no event will we sell any data collected about you to third parties.
  • Data collected during course enrolment will be used in order to complete the enrolment for a course or other activity, among others to receive payment and add the child to the list of course or other activity attendees, and to monitor attendance and progress. We will not use such data for any other purpose than the agreement performance. It is obligatory to share such data if you wish to sign up for a programming course or a different activity.
  • Data collected during the course, concerning the ordered services and the progress of the course will be used in order to document the course and educational progress in order to match the future educational offer and for the purpose of course continuation.
  • Data collected for marketing purposes, i.e. to send out the newsletter, will be used only for the purpose of sending the school’s newsletter.
  • Data collected via a CCTV camera at the registered office of Kids Coder Lab Sp. z o.o. in order to ensure children’s safety and protect property.
  • Data collected during the course or its continuation online are collected via IT tools used to run the classes. Data are collected for the purposes related to the course conduct, documenting the course and the participants’ progress and the possibility of passing the course.
  • Data saved with regard to recording of conversations with our clients or potential clients will be used solely in order to improve the quality of our services.
  • Data stored in cookie files will be used by us for advertising purposes. For this reason we provide our marketing partners, who can process personal data also outside the European Economic Area, with an anonimised identifier of the user’s device, under the agreements concerning processing of personal data or other instruments ensuring legal data transfer, concluded between us and such partners. The user can disable cookie files in the browser settings.

3. Who is entrusted with your data?

While delivering our services, we cooperate with external companies who can have access to your personal data. Such companies are entities providing accounting services, banks and payment service providers, providers of IT services (hosting, newsletter delivery) and teachers conducting programming courses or other activities, including the day camp partners. Entrusting data to the entities specified-above is performed by us only under relevant agreements made with such entities, providing for an adequate level of protection.

We inform that data stored in cookie files used by use for advertising purposes and the e-mail address, if you agree to it, will be handed over to the provider of Facebook Pixel, i.e. Facebook Inc., 1601 S. California Ave, Palo Alto, CA 94304, USA, and in case of the users within the European Union – Facebook Ireland Ltd., 4 Grand Canal Square, Grand Canal Harbour, Dublin 2, Ireland. We inform that data processed in order to conduct the course of its continuation online are entrusted with the provider of the tool used to conduct the course, i.e. Microsoft, in accordance with the personal data processing rules available at https://privacy.microsoft.com/pl-pl/privacystatement.

We inform that data processed in order to conduct phone conversations which are recorded are entrusted with the provider of the tool used to conduct calls, i.e. Channels, provided by Crazy Call Inc., in accordance with the personal data processing rules available at https://www.channels.app/privacy-policy.

4. How long will we store your data:

Parents’ details are stored for the duration of their cooperation with the school. After such cooperation ends:

  • we store data made available on invoices/bills or other confirmations of payment for the period of 5 years from the end of the calendar year in which such invoice/bill or confirmation was issued,
  • we store data regarding courses taken by children with the course and educational progress description in order to fit the future educational offer or for the purpose of continuing the course, until the child completes the last grade of the secondary school.

Children’s details are processed in the period of cooperation (agreement term), and after such period ends, until the child graduates from eighth grade of the secondary school. This allows us to prepare an adequate educational offer in the event the child continues learning at our school.

Data collected through the contact form is stored for 90 days from the last reply to the question sent through the contact form.

Marketing data (e-mail address) is stored until the permission for processing of such data is withdrawn. Data collected via a CCTV camera at the registered office of Kids Coder Lab Sp. z o.o. in order to ensure children’s safety and protect property are stored for the maximum of 14 days, save for an incident of a threat to children’s safety or a threat property, in which event data is stored for a longer period until the proceedings relating to the incident are terminated.

Data collected during the course or its continuation online will be stored no longer than for the period necessary to complete and pass the course by its participant.

Data in the form of the recording of the phone conversations handled by us will be stores for the period of 3 months.

Data stored in cookie files are stored for the period of 365 days or until they are removed from the cookie files history.

5. How do we contact you:

  • If you share you e-mail address with us because you are interested in news from Kids Coder Lab, you will receive our newsletter by e-mail.
  • If you enroll your child for a course, you can receive e-mails from us about your transaction status. We can also contact you by phone if we have important information concerning the programming course or other activity.
  • If you share your details with us through the contact form on the website because you are interested in receiving a personalised offer, we will contact you by phone or by e-mail in order to provide more information and present an offer tailored to your needs.

6. Use of the Image

If you have agreed to the free use and distribution of the child’s Image by Kids Coder Lab Sp. z o.o. (hereinafter called the “Company”), provided that all materials including the Image have been presented, with the channels of their publication and places of their distribution indicated, and the materials and places of publication were accepted, also in the event the accepted materials are modified at a later date, or in the events of new publications or places of distribution.

Conditions of the granted consent:

  • This consent if not limited in time or territory. The Image will be used by the Company maximum for the period of 10 years.
  • This consent includes the use of the Image on the following fields of exploitation: recording of any visual or audio-visual medium, in particular on video, photosensitive tape, magnetic tape and computer disc, in a cloud, in a multimedia network (including the Internet), reproducing and copying with any technique, including magnetic technique on video cassettes, audio-visual discs, photosensitive technique, digital technique, computer record technique, in a multimedia network (including the Internet), displaying, public broadcasting, audio, video, satellite broadcasting, rebroadcasting, entering onto the computer memory and into a multimedia network, using in works, articles, banners, newspapers and magazines, multimedia works, websites, including Facebook and channels owned by the Company on YouTube, marketing with the use of Internet and other data transmission techniques, using telecommunication, IT and wireless networks, public distribution of recordings/photos, using photos from recordings on posters, printed materials for marketing and promotional activities for the Company.
  • You waive any claims (existing and future), including remuneration claims, against the Company in relation to the use of the Image for the purposes indicated in this statement.
  • The Company has the right to combine the Image/recording/statement with other works, shorten it and modify it – within the fields of exploitation listed above, provided that personal rights are respected and subject to Section 1.
  • You represent that the use of the Image in accordance with this consent does not infringe anyone’s personality rights or other provisions.
  • You also represent that you know the content of the above consent and fully understand it.

7. Your rights relating to personal data processing:

You have the right to supplement, correct, update, and remove personal data, if it is incomplete, obsolete, false or if it was collected with breach of law or is no longer needed for the purpose for which it was collected.

Your other rights and obligations relating to personal data are specified in the Act on Personal Data Protection of 25 May 2018 and the Regulation 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation).

Data used for the purchase transaction are not subject to change, since it is part of the accounting document and is collected automatically. You also have the right to file a complaint with a supervisory authority i.e. to the President of the Personal Data Protection Office, in the event you think provisions of law on personal data protection were breached.

8. Information clause

The administrator of your personal data is Kids Coder Lab Sp. z o.o. with the registered seat in Warsaw, NIP: 9512447068, KRS: 0000698535, address ul. Hlonda 10 U9, 02-972 Warsaw.

We process the following data:

  • data collected during the course registration – in order to complete the registration for the course or other activities, including collecting the fee and placing the child on the list participants of the course and other activities and monitoring attendance and learning progress,
  • data collected during the course concerning the ordered services and the course – in order to fit the future educational offer or for the purpose of the child continuing the course,
  • data collected for marketing purposes (newsletter delivery) – for the purpose of delivering the newsletter,
  • data collected through CCTV at the seat of Kids Coder Lab Sp. z o.o. – in order to monitor the children’s safety and securing property,
  • data collected during the course or its continuation in an online form, collected via IT tools used to conduct classes – in order to deliver the course, document the course, the participants’ progress and the possibility of completing it,
  • data collected during recording of phone conversations – in order to improve the quality of services,
  • data stored in cookie files used by us for advertising purposes – in order to conduct remarketing activities.

Your personal data will be processed for the period specified in the Privacy Policy in the part How long will we store your data.

We inform that the provision of data is voluntary, but it is necessary to use our services or the contact forms we offer. The basis for data processing is consent (if applicable), a justified reason of the administrator, or the processing is necessary to perform the agreement or conduct activities related to the conclusion of the agreement.

Data recipients can include entities handling IT services and payments, as well as schoolteachers and day camp partners (e.g. entities organizing sports activities).

If you consent to personal data processing, you have the right to withdraw your consent at any moment by sending a declaration to the address info@kidscoderlab.edu.pl. Personal data will be processed until the consent is withdrawn, and after such withdrawal – for the period of limitation of data administrator’s claims and claims against the data administrator.

You have the right to request the administrator to grant access, correct, remove or limit the processing of your (and your child’s) personal data, and the right to withdraw your consent if you have given it and appeal to a supervisory authority (President of the Personal Data Protection Office).
